AI for accountants
and professional firms

Tell us about your firm

Fewer hours chasing documents,
more time for advisory work.

AI for accountants takes the sorting and retyping that is not advisory work off the firm's plate. In an accounting firm much of the day goes on opening the PDFs clients send in no particular order, working out what is missing, asking for the same document for the third time, answering clients who ask when a tax payment is due. That is where artificial intelligence for accountants gives time back to professionals and their employees.

We do not sell practice management software and we are not accountants. Many software products for firms are adding AI features; a custom tool is useful where those features fall short, for example on the documents clients send by email or on the firm's internal archive. From Ciriè, near Turin, we build tools for firms that work alongside the software you already use, such as a system that reads and sorts client documents, draft replies on deadlines and an assistant that searches the firm's memos, opinions and procedures and cites the source.

The starting point is the confidentiality of clients' tax and personal data, which must not end up in personal ChatGPT accounts. An assistant on the firm's documents costs from €3,000 to €7,000; installation on the firm's own server falls under custom programming, from €5,000. Automated reading and sorting of documents is a job for AI agents. We use the same approach for AI for lawyers; all our services are in artificial intelligence for business.

Artificial intelligence tools for an accounting firm

What it can do

Artificial intelligence for accountants,
six uses in the firm

Support activities, as the law requires, with the review and signature left to the professional. If the firm already uses Claude or ChatGPT, the archive can be connected with an MCP server; requests from the website are collected by an AI chatbot that never gives tax advice.

Bank statements · Receipts · Invoices

Client documents read and sorted

Files that arrive by email or are uploaded by the client are recognized, renamed and filed under the right matter, with the key data extracted. The firm sees right away what has arrived and what is missing.

Let's talk

Deadlines · Reminders · Requests

Replies and reminders to clients

Draft replies to recurring questions and requests for missing documents, personalized by client and deadline. The employee checks and sends them, without rewriting the same message every time.

Let's talk

Memos · Opinions · Procedures

Search across the firm's archive

Natural-language questions on the firm's opinions, internal memos and procedures, with an answer that cites the document. The firm's know-how becomes available to every authorized employee.

Let's talk

Balancing · Anomalies

Cross-checks on the data

Invoices, bank statements and bookkeeping entries compared to flag amounts that do not add up, duplicates and transactions with no supporting document. The AI flags, the firm does the checking.

Let's talk

Bank · Receipts · Payments

Draft reconciliation

Bank transactions matched to invoices, receipts and payments, with proposed matches to confirm and differences highlighted. The employee checks the exceptions, not every line.

Let's talk

Reports · Notes for the client

Summaries and reports for clients

Draft notes commenting on the figures, a summary of the month's deadlines, answers to recurring questions based on the firm's data. Signature and responsibility remain with the professional.

How to choose

What is the best AI
for accountants?

Many software products for firms and several specialized platforms are adding AI features for accountants, and firms are also trying ChatGPT. The best AI for accountants is the one that saves your firm hours without taking client data where it should not go.

The tool you have is enough if

  • Your practice software already has AI features that cover the work that weighs on you.
  • You mainly need research on tax rules and practice, which specialized platforms already offer.
  • You want to use ChatGPT for writing and summarizing, with a business plan and rules on what can be uploaded.
  • The firm is small and there are few repetitive tasks.

You need a custom tool if

  • Client documents arrive by email in no particular order and have to be read, sorted and filed.
  • You want to query the firm's opinions, memos and internal procedures.
  • Client data must not leave the firm.
  • You need to be able to exclude AI client by client, as the National Council's model clause provides.

Confidentiality

Clients' tax data
kept out of personal accounts.

The most concrete risk today is shadow AI, with employees pasting clients' financial statements, tax returns and data into a personal ChatGPT. The solution is to give the firm its own AI tool, with clear rules.

Confidential architecture of an AI assistant for an accounting firm

Model on the firm's servers

An open source model installed on the firm's own server or in a data center you choose, so client documents never leave the firm's infrastructure.

Cloud with contractual guarantees

Models from the major providers with business contracts that rule out the use of data for training, processing in Europe where available and identifying data masked before sending.

Per-person access and logging

Each professional and employee sees only the clients they handle, and every use is kept in a log you can consult. On top of this we add written usage rules and training.

Rules

What Law 132/2025
and the National Council require

The rules that concern anyone using artificial intelligence in the profession in Italy. This is not advice, and the assessment of your firm remains yours.

  • Only instrumental and support activities

Italian Law no. 132 of 23 September 2025, in force since 10 October 2025, states in Article 13 that in intellectual professions AI may be used only for instrumental and support activities, with the professional's intellectual work prevailing.

  • Informing the client and a clause in the engagement letter

The same article requires the client to be informed about the AI systems used, in clear, simple and complete language. On 10 October 2025 the Italian National Council of Accountants (Consiglio Nazionale dei Dottori Commercialisti) published a model clause to include in engagement letters.

  • The client can say no

The model clause also provides that the client can ask for AI tools not to be used on their engagement. That is why we build tools that can be switched off client by client.

  • GDPR and sensitive data

Tax returns and documents often contain special category data, such as medical expenses. Data minimization, legal bases, agreements with providers and security measures must be defined before connecting any archive.

Limits

What AI must not do
in an accounting firm.

Even the best AI for accountants can get an amount wrong or confidently invent a regulatory reference. Tools must be built so that errors are rare and immediately visible.

AI helps when it

  • Reads and sorts client documents.
  • Prepares drafts of replies and reminders to be checked.
  • Searches the firm's documents, citing the source.
  • Flags anomalies between invoices, bank statements and bookkeeping entries.

AI must not

  • Sign or file tax returns in place of the professional.
  • Give tax advice to clients without review.
  • Cite rules or practice without a verifiable source.
  • Work on client data without access rules and logging.

Pricing

How much AI costs
for an accounting firm

The price of AI for accountants depends on the volume of documents, the chosen architecture (cloud or the firm's own server) and integrations with the firm's software. We set it as a fixed fee after the analysis.

FAQ

Frequently asked questions about
artificial intelligence for accountants

What is the best artificial intelligence for accountants?

It depends on the work. For research on tax rules and practice there are specialized platforms, many practice management systems for firms are adding AI features, and for writing and summarizing ChatGPT in its business version works well. Where you need to read client documents or the firm's archive without the data leaving the firm, a custom tool is the better choice.

Is there AI software for accountants at no cost?

The basic versions of general-purpose assistants can be used without paying, but clients' financial statements, tax returns and payslips must not be uploaded to personal accounts, where the firm does not have the control that GDPR and professional secrecy require. Client data requires a business plan with contractual guarantees or a tool installed at the firm.

How do you use ChatGPT in an accounting firm?

For drafts of emails and memos to clients, summaries of long documents, a first reading of a regulation and work outlines, always checked by the professional. It should be used with a business account, with written rules on which data not to upload and without client names and tax codes when they are not needed. For work on client documents, a tool owned by the firm is the better choice.

What can be automated?

Repetitive, frequent tasks, such as collecting and sorting client documents, reminders for missing documents, matching bank transactions to invoices and searching the firm's archive. We start with the one that costs the most hours and measure the time saved.

Is client data safe?

Yes, if the architecture is chosen first. With a model installed on the firm's own server, the data never leaves; with cloud models we use business contracts that rule out training on the data, processing in Europe where available and identifying data masked before sending. Each employee sees only the clients they handle and every use is kept in a log.

How much does AI cost for an accounting firm?

An assistant on the firm's documents costs from €3,000 to €7,000, with a timeline of 3 to 6 weeks. Automated reading and sorting of client documents starts at €8,000. Installation on the firm's own server falls under custom programming, from €5,000 to €15,000.

Can an accountant use artificial intelligence?

Yes, within the limits of Italian Law 132/2025. Article 13 allows its use for instrumental and support activities, with the professional's intellectual work prevailing, and requires the client to be informed about the systems used in clear, simple and complete language.

What should I write in the engagement letter?

On 10 October 2025 the Italian National Council of Accountants (Consiglio Nazionale dei Dottori Commercialisti) published a model clause on the use of AI to include in engagement letters. We explain in writing how the tool we build works, so you know what to declare; the wording is up to you.
